Retreat Terms & Conditions
Thank you for booking with Our Retreat.
These terms outline your responsibilities, our policies, and important information for your stay. By confirming your booking, you agree to these terms on behalf of yourself and any other persons included in your reservation.
Your Health & Safety
It is your responsibility to ensure that you are physically and mentally fit to participate in activities included in the retreat. Please consult a medical professional before booking if you have any existing health concerns or conditions that could be affected by yoga, fitness, breathwork, or other retreat activities.
Please inform us of any physical or mental health conditions, allergies, or injuries at the time of booking. We also ask that you disclose any dietary requirements, so we can accommodate you safely and appropriately.
You must inform the retreat team of any injuries before participating in movement or fitness sessions. You are responsible for monitoring your physical condition and must stop any activity immediately if you experience pain or discomfort.
We reserve the right to advise against or restrict participation in activities if we believe it is in the best interest of your health or safety.
Pregnancy
If you are between 12 and 28 weeks pregnant, we ask that you provide a letter from your GP or midwife confirming that you are fit to travel and able to participate in the retreat activities.
Terrain Notice
Our retreats are held in natural environments that may include uneven ground. While we take every measure to maintain safety, you are responsible for taking appropriate caution, and we cannot be held liable for injuries caused by uneven terrain.
Acknowledgement of Risk
By booking a retreat with us, you acknowledge that participation in travel and physical activities involves inherent risks. You confirm that you are voluntarily participating in all aspects of the retreat and assume full responsibility for your own wellbeing.
We are not qualified to provide medical advice. Any wellness information shared is for educational purposes only. You agree to seek professional medical clearance before attending the retreat if you have any known health concerns.
Indemnity
You agree to release, hold harmless, and indemnify Our Retreat, its directors, teachers, facilitators, and contractors from any and all liability or claims arising from your participation in any aspect of the retreat.
Payment Policy
A non-refundable 20% deposit per person is required to secure your booking. The remaining balance must be paid by the stated due date for your specific retreat.
Your booking does not include:
• Flights
• Transfers
• Travel insurance
• Optional extras not listed as included in the retreat package
Travel Insurance (Required)
You are required to have comprehensive travel insurance that includes:
• Cancellation cover
• Medical cover (including COVID-19-related events)
• Personal belongings
• Any activities listed in your retreat itinerary
Please send a copy of your policy prior to arrival, or bring it with you. Our Retreat does not provide insurance and cannot be held liable for any losses resulting from failure to obtain adequate cover.
Even if you have private health insurance in the UK or elsewhere, it may not cover international travel or activities abroad.
Cancellation Policy – Guest Cancellations
Cancellations must be made in writing. Fees apply as follows:
90+ days before retreat start date: Full refund, minus 20% non-refundable deposit
60–89 days: 50% of total refund, excluding 20% deposit
Less than 60 days: No refund (for any reason, including illness or travel disruption)
There is no statutory “cooling-off” period for retreat bookings under UK law due to the time-sensitive nature of travel services.
Late arrivals / Early departures: No credit, refund, or transfer will be issued.
Cancellation Policy – Retreat Cancellation by Us
If we must cancel your retreat, you may:
Transfer your booking to another date (within 2 years)
Request a refund
COVID-19 Flexibility:
In the event of COVID-related disruption, we will allow you to move your booking to any future date within 2 years, without penalty.
We are not responsible for personal costs incurred in preparation for a cancelled retreat (e.g. flights, insurance, hotel bookings, or lost work days).
Third-Party Services
Our Retreat is not liable for the actions of third parties or suppliers. We are also not responsible for flight delays, cancellations, or missed transfers. You are responsible for arranging travel to and from the retreat location.
General Waiver
All guests will be required to sign a participation waiver prior to the retreat. By signing, you confirm your voluntary participation and release Our Retreat, its team, and associates from any liability for injury, loss, or damage to person or property.
Our Retreat is not suitable for:
• Children under 18
• Individuals with severe mobility issues or medical needs requiring specialised care
Certain areas of the property may not be accessible to those with limited mobility.
Exclusions & Unforeseen Changes
We do our best to deliver everything as advertised. However, we reserve the right to adjust the programme due to:
• Illness or emergency involving staff or facilitators
• Weather conditions
• Technical faults or delays
• Force majeure (e.g., natural disasters, strikes)
In such cases, we will make every effort to provide a suitable alternative but cannot offer refunds or compensation for changes beyond our control.
Staffing & Programme Adjustments
In the rare event a teacher or facilitator becomes unavailable due to illness or emergency, we will adapt the programme accordingly. The retreat will still go ahead and no refund or compensation will be issued.
Use of Images (Photography & Video)
By attending the retreat, you grant us the right to use any photographs or video taken during your stay for marketing and promotional purposes. If you prefer not to be photographed, please let us know upon arrival and we will respect your request.
Complaints
We aim to provide an exceptional retreat experience. If you have concerns, please speak to the Retreat Director immediately so we can resolve the issue. Post-retreat complaints must be submitted in writing within 14 days of your return.
Privacy Policy
We are committed to protecting your privacy. We only collect personal data necessary to process your booking and deliver retreat services. We do not sell or share your data with third parties.
Our site may track basic data (such as IP address and session duration) for site management and analytics purposes.
Governing Law
This agreement is governed by the laws of England and Wales. By booking a retreat, you confirm you have read and agreed to these terms on behalf of yourself and any individuals included in your booking.
